Terms

Effective 13 October 2026

These terms cover syrozen.com and Syrozen's software, Syrozen CRM, Syrozen Mail and Syrozen Sign (together, "the Service"). By using the site or the Service, or by paying for a subscription, you agree to them. Custom software projects we build for you are covered only by a separate written agreement signed by both parties.

1. About us

  • Supplier: Syrozen is a trading name of [full legal name], a sole proprietor in South Africa.
  • Physical address (also for legal notices): [physical address], Centurion, Gauteng.
  • Email: [email protected]. Phone: [phone number].
  • Website: syrozen.com. We do not belong to any self-regulatory body or subscribe to an industry code of conduct.

2. Using this website

The content on this site describes our services in general terms. It is not an offer, quotation or guarantee of any result, timeline, price or deliverable. Scope, fees, ownership of work and warranties for a project are agreed only in a signed proposal or statement of work, which takes precedence over anything on this site. Sending a project brief does not create a client relationship.

Code samples on this site are short illustrations, provided as is and not intended for production use.

The design, text, graphics and code of this site and the Service belong to Syrozen or its licensors. You may not copy or reuse them without our written permission. The Geist and Geist Mono typefaces are used under the SIL Open Font License. Product names and logos of other companies, such as TypeScript, React, Next.js, Node.js, Tailwind CSS, Supabase, PostgreSQL, Cloudflare, Stripe, Expo, Swift, Figma, GitHub, Google, Gmail, Microsoft and Outlook, are trademarks of their owners and do not imply any affiliation or endorsement. Links to other sites are for convenience; we are not responsible for their content.

3. The Service

Syrozen CRM is a ticketing and customer relationship tool, Syrozen Mail is a web mail app for your company's mailboxes, and Syrozen Sign manages your team's email signatures. The Service is for businesses and for people aged 18 or older. Each person signs in with their own email address. The person who sets up your company account (the account owner) decides who is invited and what they can see, and is responsible for everyone they invite.

You can connect a Gmail or Outlook mailbox to a board. You authorise us to read and send email through that mailbox on your instructions, and you can disconnect it at any time.

4. Plans, prices and subscriptions

  • Price: your plan, number of people (seats) and price are shown on your order page before you pay. Prices are in South African rand. Syrozen is not registered for VAT; if that changes, VAT will be shown on the order page and added at the legal rate.
  • Payment: payments are processed by Paystack. We never see or store your full card number.
  • Renewal: paid plans are subscriptions that renew automatically every month or every year, as shown on your order, until you cancel. Each renewal is charged to the card you paid with.
  • Price changes: we will tell you at least 30 days before a price change takes effect. You can cancel before then.
  • Cancelling: you can cancel at any time by emailing us, or through the link in Paystack's subscription emails. Cancelling stops the next renewal; you keep access until the end of the period already paid for. Except as set out below or required by law, we do not refund part-used periods.
  • Failed payments: if a renewal payment fails, we will let you know. If it is not settled within 14 days, we may limit the account to read-only or suspend it until it is.
  • Charges you think are wrong: please contact us first; we will correct genuine mistakes promptly. If a payment is reversed through your bank (a chargeback) while you keep using the Service, we may suspend the account until the amount is settled, and we will respond to the dispute with the records we hold.
  • Free plan: the Free plan costs nothing and has the limits shown in the Service. We may change or end it with 30 days' notice.

5. Cooling-off period for consumers

If you are a natural person buying the Service for your own use (a "consumer" under the Electronic Communications and Transactions Act 25 of 2002), you may cancel within 7 days of paying for your first subscription, without reason and without penalty. Email us within those 7 days. We will refund what you paid within 30 days of your cancellation, and close or downgrade the account. This right does not apply to companies and other juristic persons, or to renewals of an existing subscription. Nothing in these terms limits rights you have under the Consumer Protection Act 68 of 2008 where it applies.

6. Your data and our role under POPIA

Everything you and your people put into the Service (tickets, customers, contacts, deals, notes, email and attachments) remains yours. For personal information about your own customers and contacts, you are the responsible party under the Protection of Personal Information Act 4 of 2013 (POPIA), and Syrozen is your operator (a processor under the EU and UK GDPR). As your operator, we:

  • process that information only to provide the Service to you, on your instructions, and treat it as confidential;
  • keep appropriate security measures in place (described in our privacy notice) and limit access to people who need it;
  • tell you without undue delay if we have reasonable grounds to believe the information has been accessed or acquired by an unauthorised person;
  • use only the service providers listed in our privacy notice, which are bound by data protection terms, and update that list before adding a new one;
  • help you respond to requests from people whose information you hold;
  • when your account ends, keep your data available for export for 30 days, then delete it within a further 30 days, unless the law requires us to keep it.

You confirm that you have a lawful basis for the personal information you put into the Service, and that any marketing you send through it meets POPIA section 69 (consent or an existing customer relationship, and an easy way to opt out).

7. Syrozen Sign (email signatures)

Syrozen Sign lets your admins design email signatures and add them to the email your team sends. If you buy it on its own, it is a separate subscription under section 4, with its own price and number of mailboxes.

  • Content: you are responsible for what goes in your signatures, including logos, links and small print, and for having the right to use them.
  • Your team's signatures: your admins choose the signature used by the people and mailboxes on your account. You confirm they have the authority to do that.
  • Photos: a profile photo is personal information. Only add someone's photo with their agreement. Each person can remove their own photo at any time, and it is then deleted from our storage.
  • Images are public by link: everyone who receives your email must be able to see your logo and photos, so each image can be opened by anyone who has its link. Links are long, random and not listed anywhere, but don't upload anything you wouldn't show publicly.
  • Plans: the Free plan covers up to 3 mailboxes, and its signatures end with a small "Signature by Syrozen Sign" line. A paid plan covers the number of mailboxes you pay for and removes that line. If a payment is overdue, the Free plan's limits apply until it is paid, and mailboxes past them send without a designed signature.
  • Copied signatures: a signature you copy into another mail app (such as Gmail, Outlook or Apple Mail) is yours to use there, but it doesn't update by itself.
  • Limits: PNG or JPEG images up to 300 KB each and 50 MB per company. A replaced photo is kept for 90 days, so emails already sent still show it, and is then deleted.
  • Google Workspace and Microsoft 365: if you connect them for signatures, you authorise us to change the signatures in those accounts on your admins' instructions. Your admin can remove that access at any time.

8. Health and other sensitive information

The Service is not designed to store health records or other special personal information (such as health, religious, biometric or criminal information, or information about children). Do not use it for that. The Service is not built or certified for the US Health Insurance Portability and Accountability Act (HIPAA), and we do not sign business associate agreements.

9. Acceptable use

You must not use the Service to send spam or unsolicited marketing, break the law, infringe anyone's rights, harass anyone, send malware, try to get around its security or limits, or resell it without our written permission. We may suspend an account that does any of these, and we will tell you why.

10. No warranties

To the extent the law allows, the site and the Service are provided "as is" and "as available", without warranties of any kind, whether express or implied, including that they will be uninterrupted, error free, secure or fit for a particular purpose. We work to keep the Service available, secure and backed by reliable providers, and we will give notice of planned downtime where we can, but we do not guarantee availability unless we agree a service level in writing. Keep your own copies of anything important: you can export your data at any time.

11. Limitation of liability

To the extent the law allows:

  • Syrozen is not liable for any indirect, incidental, special or consequential loss or damage, including lost profits, revenue, business, goodwill or data, or the cost of replacement services, even if we were told it might happen.
  • Syrozen is not liable for loss caused by things outside our reasonable control, such as failures of the internet, our hosting or payment providers, or a connected Gmail or Outlook account.
  • Syrozen's total liability for all claims about the site or the Service is limited to the greater of the amount you paid us for the Service in the 12 months before the claim, or R500.

These limits do not apply to fraud, gross negligence or wilful misconduct, or to any right that cannot lawfully be limited, including your rights under the Consumer Protection Act 68 of 2008 where it applies.

12. Your responsibility for your use

To the extent the law allows, you agree to indemnify Syrozen, and cover our reasonable legal costs, against any claim by someone else that arises from what you or your people put into or send through the Service (for example defamatory, infringing or unlawful content, or marketing sent without consent), or from your breach of these terms or the law. We will tell you promptly about any such claim and let you take part in defending it. This does not apply to the extent the claim was caused by our own breach or fault.

13. Suspension and ending the Service

You can stop using the Service and cancel at any time, as described above.

We may suspend or limit an account, or any person's access, at our reasonable discretion where we believe it is needed to protect the Service, our customers or others, for example after a security incident, suspected misuse or fraud, a breach of these terms, a payment that is overdue or reversed, or where the law requires it. We will tell you why and, where we can, give you a chance to fix the problem first. We may end the Service for you with 30 days' notice for any reason, or immediately for a serious breach of these terms. If we end a paid subscription without you being at fault, we will refund any unused part of the period you paid for. Section 6 explains what happens to your data.

14. Disputes and governing law

These terms are governed by the laws of the Republic of South Africa. If something goes wrong, contact us first and we will try to resolve it within 14 days.

  • Business customers (companies and other juristic persons, and anyone using the Service for their business): any dispute that we can't resolve between us will be finally decided by arbitration under the rules of the Arbitration Foundation of Southern Africa (AFSA), by one arbitrator, in Gauteng, in English. Either of us may still ask a court for urgent relief. To the extent the law allows, claims may be brought only individually, not as part of a class or representative action.
  • Consumers: you may refer a dispute to the South African courts, the National Consumer Commission, a consumer court or an ombud, and nothing in these terms limits that right.

15. Changes to these terms

We may update these terms. For changes that affect paid subscriptions, we will give at least 30 days' notice by email. The version on this page, with its effective date, applies. You can save or print this page for your records.

How we handle personal information is explained in our privacy notice.
